Job Introduction

An opportunity is available for a Team Administration Assistant working within our Commercial Enablement Team based in Exeter. 

Reporting to the Commercial Enablement Manager, you’ll provide administrative assistance and project support to the Commercial team.

We offer a hybrid and flexible working approach, a mix of working in the office and home working. Our standard working week is 37 hours, though we can also offer some flexibility in terms of hours / times if required. 

Main Responsibilities

•    Support the updating and monitoring of supply chain plans for centrally managed works.
•    Interaction with contractors and supply chain partners to support resolution of issues.
•    Develop and issue of Work Instructions for centrally managed works.
•    Support the maintenance and monitoring of project finances and budgets for centrally managed works.
•    Support the maintenance of commercial process and policy documentation.
•    Assist team in dealings with internal and external customers and stakeholders. 
•    Resolve customer complaints, wherever possible directly. 
•    Support and assist team members in other Commercial Team sections as needed. 
•    Support the processing of invoices on E5 for approval and payment associated particularly with fees from external suppliers and agents and contract staff working for the team.
•    Administrative support to team including travel, accommodation and other arrangements.
•    Identify opportunities for improvement in performance and implement or recommend change.
 

The Ideal Candidate

•    Experience of providing administration services ideally within a commercial environment. 
•    Strong interpersonal skills with ability to confidently communicate, engage and build strong working relationships with colleagues/stakeholders. 
•    Highly organised and able to prioritise workload efficiently under tight deadlines
•    Sound numeracy and literacy skills
•    Proficient IT skills particularly with Microsoft Office suite – Outlook, Word, Excel and PowerPoint and receptive to learning other software systems.   
•    Ability to work accurately with a good attention to detail
•    Proactive with a positive attitude and passion for identifying continuous improvements
•    Willingness to assist team members as well as ability to use own initiative

National Grid Electricity Distribution is committed to safeguarding the interests of the Company, colleagues and customers. This role is subject to a satisfactory Barring Service, (DBS) check, depending on the role different levels of screening and vetting are required. Some roles require a triannual check.
