As our Executive Assistant, you will support the Managing Director of Insurance Services. This is a busy and varied role where you will be providing seamless management of the MD’s diary, inbox management, organising and preparing for meetings as well as drafting and amending documents and reports.
You will be the ‘go to’ person for the Managing Director and his team and will have the ability to successfully multi-task, playing a key role in facilitating seamless communication and effective time management.
Proactive and agile, you’ll anticipate business needs, triaging and prioritising to ensure timely responses and efficient completion of actions.
What will I be doing?
- Support the MD: Assist in activities to ensure smooth, efficient and effective business operations, using your initiative to achieve overall business objectives. Ensure the MD is briefed on key matters and prepared for meetings.
- Report and Presentation Preparation: Coordinate and prepare reports, agendas and presentations for senior stakeholders and events, ensuring actions are monitored and completed.
- Communication & Engagement: Support the planning and management of events and internal communication, managing relationships with external partners and across the Group, driving engagement and collaboration.
- Record Keeping and Document Management: Maintain comprehensive and accurate records including meeting minutes and organise documents in support of MDs governance and oversight responsibilities. Track and monitor actions and deadlines to ensure timely follow up.
- Relationship Building: Develop and maintain close relationships within Roadside Services and with wider teams, the EA/PA community and other business areas.
- Office Management: Managing diary access, meeting preparation, weekly notes, inbox curation and dealing with enquiries.
What do I need?
Capability, Knowledge and Experience:
- Experience working within a similar Executive Assistant role supporting Executive level stakeholders
- Showcase excellent planning, multi-tasking, and organising skills, with the ability to prioritise, manage time effectively, and use initiative as needed.
- Proven ability to work within a fast-paced, ever-evolving environment with the ability to manage multiple priorities effectively
- High attention to detail to provide accurate and detailed record keeping including financial data
- Excellent collaboration and communication skills with a people-centric approach
- Strong analytical thinking and the ability to work independently, with a proactive problem solving mindset
