About us:

The Facilities Management team is the largest E&F team, with the largest budget and is responsible for delivering all FM services across the whole University. It comprises two departments: Facilities & Engineering and Facilities & Operations and this role will support the Directors of both these teams and their senior management colleagues. FM maintain critical research across our campuses and manage and improve student experience. This University wide role is challenging but also exciting, varied and interesting.
 

About the role:

The Business Support Manager has a key role in Facilities Management interfacing with senior managers in the Division and stakeholders across the university, in order to provide efficient, effective and professional support in the delivery of strategic initiatives in support of the E&F Functional Plan and Philosophy.
 
The post holder is responsible for providing comprehensive, confidential, and high-quality executive covering the full range of administrative and project related support to the Directors and senior management of Facilities Management, as a means of supporting the smooth management and development of the department.
 
Through a projects-based approach the role will include supporting the implementation of policies and preparation of documents, reports and presentations that will enable the delivery of agreed initiatives. These may at times contain confidential information, which will require considerable use of professionalism, judgement, discretion, and diplomacy and will entail working at board level.
 
This is a full time (35 hours per week), but flexibility around working hours is essential as the role supports a 24/7 service. You will be offered an indefinite contract.

About you:

To be successful in this role, we are looking for candidates to have the following skills and experience:
 Essential criteria
1.      Experience of administration in a complex environment, including organising large meetings/events management, from scheduling to post meeting follow ups.
2.      Experience of working in a project-led environment, with ability to carry out own research to get the work completed.
3.      Experience of working across boundaries in a fast-paced environment, with strong attention to detail, accuracy and ability to meet deadlines.
4.      Excellent verbal and written communication skills, ideally with experience of producing high quality minutes and draft reports.
5.      Intermediate to advanced IT skills in MS Office (Word, Excel, PowerPoint, Outlook, SharePoint and Teams)
6.      Motivated, resourceful, self-starter who can work independently with minimal direction, tact and diplomacy.
7.      Able to deal with sensitive information with the utmost discretion and confidentiality.
8.      Personable, enthusiastic with a completer-finisher mindset
 
Desirable criteria
1.      Experience of servicing meetings i.e. formulating agendas, minutes, and action logs
2.      Holds relevant Health and Safety and Facilities Management qualifications
