About Us – Legal and Business Affairs

The Label Legal Team (part of the broader Legal & Business Affairs Team) provides legal and business affairs support to all Universal Music UK labels including the Polydor Label Group, Island EMI Label Group and Decca Records.

The Role

Supporting all members of the Label Legal Team by providing a full range of administrative services.

Key Responsibilities

  • Book meetings and conference calls, update calendars and ensure meeting rooms are booked when required

  • Process all expenses and keep copies

  • Book UK / international couriers for the team

  • Order IT equipment and stationery for the team (follow procedure for business / finance). Ensure the stationary cupboard is replenished

  • Sort through and distribute post for the department

  • Keep lawyers list and management contact lists up-to-date

  • Order and distribute concert tickets for the department

  • Maintain filing of original documents and ensure these are easily retrievable, ensure electronic agreements are filed in the shared drive and / or passed on to the relevant member of the team

  • General ad hoc duties as required

  • Manage and co-ordinate the execution of legal documents. Arrange notarisation and apostille where required

  • Handle all invoices and ensure suppliers are paid

  • Liaise with new suppliers to make sure they are comfortable with Uniport and refer them to the helpdesk team if further technical assistance is required – liaise with finance to arrange and follow up on charges / recharges and ensure these are allocated to the correct cost centres

  • Direct legal enquiries and act as the first point of contact for the department

  • Archive documents via Iron Mountain Connect as and when required

  • Assist in organising events and arranging training sessions

  • General administrative support and assistance where required

Skills, Experience, Qualifications and Behaviours Required

  • Excellent computer skills to include Word, Excel, Adobe and PowerPoint

  • Ability to work independently in a fast-paced environment

  • Excellent communication skills

  • Strong writing and grammar skills

  • Great organisational skills

  • Ability to multi-task and juggle several managers

  • Attention to detail

  • A self-motivated team player

  • Understand the importance of confidentiality and discretion

  • Have an interest in learning about the business affairs, compliance aspects of the music industry
