Job Title: Document Controller

We have recently gained permission to begin the design work to build a modern, low carbon waste water treatment plant to provide vital services for the community and environment which will recycle water and nutrients, produce green energy and help Greater Cambridge to grow sustainably.

Known as the Cambridge Waste Water Treatment Plant (WWTP) Relocation Project, Anglian Water will work with our partners, MMB, MWH and Skanska to help deliver this fantastic opportunity for the Greater Cambridgeshire area. The relocation would make the site of the existing WWTP available to form part of the development of a new low-carbon city district, known as North East Cambridge. The site at Cowley Road, is Cambridge’s last major brownfield site, and the wider North East Cambridge district proposals envisage creating around 8,350 homes and 15,000 jobs over the next 20 years.

To ensure this exciting and community changing project is implemented with industry-leading construction management, we are looking for a Lead Construction Manager to ensure all construction activities are provided in compliance with the development consent order!

What will you be doing as our new Document Controller?

As the Document Controller, you will be responsible for the day-to-day administration of project and engineering files on BIM 360 Docs and to support the flow of information by providing consistent support to the engineering and project team, ensuring compliance with relevant processes and procedures and the correct use of the Document Management system. Supporting daily information exchange activities, including but not limited to issuing and receiving documents in accordance to ISO 19650 and/or any other standard requested by the client. Assist the project team in the correct use of the CDE systems and automation processes.

The current design is at an outline status, and you will be working through delivery of the final optioneering stage and detailed design for construction and provide support during assembly as required. In this role, you will:

  • Supporting all to ensure BIM 360 is managed in accordance with the Engineering BIM 360 Docs procedures.

  • Providing administrative support to project teams e.g. establishing review workflows, adding project team members to projects in BIM 360 and setting and managing permissions, identifying risks to the security of information

  • Dealing with enquiries efficiently, professionally and effectively within service levels

  • Applying rigour to key projects and tasks that require accurate and timely delivery.

  • Checking that documentation meets Anglian Water and external standards, where applicable

  • Actively checking the revision, suitability and approval of documentation

  • Monitoring and checking that all documentation is stored in an auditable and retrievable state.

  • Measuring and reporting performance within the area of responsibility

  • Manage the daily information exchange activities, including but not limited to issuing and receiving documents in accordance with ISO 19650 and/or any other standard requested by the client.

  • Supporting the BIM Manager in generating reports and filling in dashboards.

  • Create and manage documents on the project’s CDE systems and ensure the correct folder structure and workflows are followed.

  • Assist the project’s teams in the correct use of the CDE systems and automation processes

  • Assist Lead Information Controller in developing and keeping updated the Information Control documentation and workflows.

  • Successful implementation and adoption of the Digital Strategy at project level

  • Engagement with project teams to ensure effective collaboration and development.

  • Good engagement and working relationships with the technical functions.

  • Engagement with project teams to ensure effective understanding and use of CDE solutions.

Key responsibilities:

Day to day administration of BIM 360 Docs:

  • Supporting all to ensure BIM 360 projects are managed in accordance with the Engineering BIM 360 Docs procedure.

  • Providing administrative support to project team e.g. establishing review workflows, adding project team members to projects in BIM 360 and setting and managing permissions, identifying risks to the security of information.

  • Dealing with enquiries efficiently, professionally, and effectively within service levels.

  • Applying rigour to key projects and tasks that require accurate and timely delivery.

  • Checking that documentation meets Anglian Water and external standards, where applicable.

  • Actively checking the revision, suitability, and approval of documentation.

  • Monitoring and checking that all documentation is stored in an auditable and retrievable state.

  • Measuring and reporting performance within the area of responsibility

  • Liaise with other departments and project team members with respect to requirements.

  • Manage quality through the workflow review in line with the project timeline.

  • Embrace and adopt standard products.

Perform reviews of the use BIM 360 Docs:

  • Undertaking regular reviews of projects on BIM 360, monitoring compliance with the relevant policies and procedures

  • Providing feedback and working with project teams to resolve issues that arise

Deliver coaching on the use of BIM 360 Docs

  • Continuous coaching/mentoring members of the Engineering team on the correct use of BIM 360 Docs

  • 1-2-1 new starter coaching relevant to their role to cover folder structure, permissions, responsibilities and location of all required material (Engineering team only)

Support to develop processes and procedures

  • Work effectively as part of a multi-disciplinary project team.

  • Working alongside the BIM Manager and Project Management Team to identify the opportunity to develop procedures, guidance and training materials, as required.

  • Continually looking for/seeking feedback on opportunities to improve processes and feedback to identify areas for improvement and share best practise.

  • Actively questioning to avoid rework and reduce waste within process.

  • Encouraging the development of personal responsibility for document management across the project.

A little bit about your skills, experience and behaviours….

Essential:

  • Appropriate professional qualification to HNC or higher

  • Knowledge and awareness of the UK BIM Framework: BS1192, PAS1192 and ISO 19650 suite of standards and Government Construction Strategies

  • Good communication & administrative skills

  • Analytical & data driven mindset.

  • Ability to work alone or as part of a team.

  • Fluent in Autodesk BIM 360 Docs

Skills:

  • Working effectively within a multidiscipline and diverse team.

  • Strong interpersonal skills, with an ability to understand the needs and views of others and adapt own approach.

  • Organised – able to organise own and teams’ workload, with an ability to proactively plan.

  • Comfortable in presenting to, influencing and negotiating with a wide range of teams, stakeholders, and customers.

  • Passion for detail and ensuring that colleagues have the knowledge, skills and support to understand and embrace the detail.
